The Backyard Party Bar Setup Checklist

Power and lighting

A blender for frozen drinks, string lights over the bar area, and a phone charging station for the DJ playlist all need power. Walk your yard ahead of time and identify your nearest outlets, and plan for an outdoor-rated extension cord if the bar is more than a few feet from the house. If you're expecting the party to run past sunset, simple clip lights over the bar make a real difference and cost very little.

Shade, weather, and a backup plan

Colorado's Front Range weather can turn quickly, even in the middle of summer — a clear afternoon can bring a fast-moving thunderstorm by early evening. A pop-up canopy over the bar handles both sun and a light rain shower, and it's worth having a simple plan for where the bar moves if weather turns (a covered patio, garage, or porch) rather than figuring it out in the moment.

Ice: more than you think, colder than you think

Ice is the most consistently underestimated item at a backyard party. Plan on roughly 1 to 1.5 pounds of ice per guest for a multi-hour party covering both drinks and any coolers — and buy it same-day if possible, since a chest freezer at home rarely keeps a large volume cold enough to avoid clumping.

What a bar service brings vs. what you supply

For most of our private-party bookings, you supply the alcohol and we bring everything else: a full portable bar setup, glassware, ice, mixers, garnishes, and TIPS-certified staff to run it. That split usually works out cheaper than a fully hosted package while still meaning you don't have to think about a single cocktail ingredient on the day of the party.

Trash, recycling, and glass — plan for cleanup before it starts

A bar generates a surprising amount of trash and recycling over a few hours — bottles, cans, napkins, garnish trim. Setting up a clearly visible bin (or two) right next to the bar from the start keeps the area from turning into a mess by hour two, and it's one less thing to deal with at the end of the night.
